Contract Review Committee

We are formally standing up a Contract Review Committee (CRC) for Culpeper, Haymarket, and Prince William Medical Centers to support a more consistent, transparent approach to how contracts are reviewed and managed across the organization. 

As our contract volume and complexity have grown, we’ve seen an opportunity to improve alignment, reduce risk, and make sure contract owners have clearer support and guidance throughout the lifecycle of a contract. The intent of this committee is to bring structure and shared visibility — not to slow things down. 

What the Contract Review Committee Will Do 

At a high level, the committee will: 

  • Create a more consistent review and approval process for new and renewing contracts 

  • Improve visibility into active contracts, renewals, and key terms 

  • Help reduce financial, legal, and compliance risk 

  • Clarify roles and expectations for contract owners and reviewers 

  • Provide a clearer, more predictable contracting process for operational teams 

Contract criteria that are in scope of review by the Contract Review Committee:  

  • Agreements over $100K in monetary value  

  • Entity Level vendor/service agreements (e.g., IT, maintenance, facilities, consulting, safety/security) 

  • Equipment leases and purchase agreements 

  • Purchased services (e.g., food service, EVS, security, etc.) 

  • Net new agreements (awareness only) 

  • All supply/disposable agreements  

What This Means for You as a Contract Owner 

As a contract owner, you can expect: 

  • A clearer intake and review pathway for contracts 

  • Contract owners will receive a personalized email from the CRC to alert them of the proposed review. 

  • Defined review thresholds and escalation points 

  • Better coordination with Legal, Finance, Compliance, and other partners 

  • Improved tracking of contract status, obligations, and renewals 

We’ll be rolling this out in phases and will share additional details on timelines and expectations as we move forward. Our first CRC meeting is scheduled for July 7. Those with contracts that will be reviewed will receive an email notification with instructions for next steps.
