Tips for Revising a Document

  • Assignment: You will receive an assignment notification email with a link. Any documents assigned to you will also be available in your PolicyTech "My Tasks" folder. 
    • Check your tasks regularly
  • Review: When you click on the document link, you will see a "clean pdf version" (no track changes visible) of the document.
    • Read through it to see if there is anything you want to revise.
    • Notice if there are any questions on the margins
    • In "More" menu, choose "Compare to Previous Version" to open a pdf that will show you any revisions already done. Refer to Quick Guide
    • If you don't want to revise, click "Accept"
    • If you want to revise, click "Revise". A word document will open. Refer to Quick Guide
  • Revise: When you open the word document, it will be in Track Changes automatically
    • Do not use STRIKETHROUGH
    • Do not enter revisions in COMMENTS- revise the body of the document directly
    • You are a subject matter expert- please consult/meet with other subject matter experts to answer any questions to ensure policy reflects current practice. Anything you can answer/validate minimizes the time a document stays in review cycle.
  • Save your work often by clicking the SAVE icon  
    • If you use "SAVE AS", you will be saving a copy of your document on your desktop. Any revisions you make will be on that desktop copy - not in PolicyTech. 
    • Any revisions you make to your desktop copy must be transferred/redone in the PolicyTech version.
  • Complete: Close the document by clicking the X on the top right corner.
    • Click "Back to PolicyTech" to save all revisions into PolicyTech.
    • If not done, click "Finish Later" and document will remain in your tasks list.
    • If you are done, click "Done Revising".
      • Enter a brief summary of your changes in the Comments Box- what do you want your staff to know about this review/revision?
      • The document will be removed from your tasks list.
      • The document will go to the next reviewer 
  • Review History: You can see who got the document before your and who will get it after your by clicking "Overview" tab-- "Reviewer Status". See Quick Guide
  • Quality Check: Once all reviewers are done and all questions answered, the policy administrator will perform quality control check and submit to approvers.
    • Clinical documents are approved by executive leader and medical director, as applicable.
    • Administrative documents are approved by executive leader
