This FAQ document details changes team members can expect with My UVACH HR (Oracle and Kronos).

My UVACH HR Go-Live Reminders

Oracle Payroll and Kronos Time and Attendance are going live for all UVACH team members on Dec. 18, 2022. Now is the time to familiarize yourself with the updates that will occur over the coming weeks: 

New on Dec. 18	What you need to know	Resources
Employee Self-Service (ESS)	This portal serves as a one-stop-shop for employee HR activities. Employees use their UVA computing ID and network password to log into the portal, found on the UVACH Intranet homepage. Once in the portal, team members can manage their employee information, manage their direct deposit setup, access paystubs, complete performance reviews, access employee directories, and more.	Team members should review the ESS demo video and refer to the ESS Training Manual for more detailed instructions for using the portal.
Oracle Payroll	Payroll will continue to run out of Meditech until Dec. 18, with final Meditech check distribution on Dec 23. Oracle will produce the first paycheck of 2023 on Jan. 6. With the introduction of Oracle, there will be no changes to the pay schedule. Team members can also still access old paystubs on Doculivery.	Please direct team members to the My Compensation section of the ESS training manual.
Kronos Timeclocks	The API time and attendance desktop software and time clocks will be replaced by Kronos on Dec. 18.	Team members should refer to the Kronos Job Aids on the My UVACH HR Program Updates page
Oracle Learning Management System (LMS)	The Oracle LMS went live on Oct. 23 for New Hire orientation. Existing team members should complete all outstanding training assignments in NetLearning and iLearn by Dec. 17. In 2023, we will transition all team member training to the Oracle LMS. My UVACH HR Updates (Inside UVA Community Health, 11/23/22)

Oracle Self Service Portal is launching on Dec.18 across UVA Community Health. Oracle will allow you to easily manage both personal and HR-related information at your fingertips. You will be able to update items including personal details, identification information, and emergency contacts. You will also have access to a UVACH directory and your own personal organization chart.

The Oracle Self Service Portal will also give you access to view your end of year documents and pay slips once the first paycheck is generated in Oracle on Jan. 6.

Performance Manager and Benefits will be available in this portal 2023.

Please reference the Oracle Self Service training manual for detailed information regarding the important features you will be able to utilize in Oracle and recap the screen features with the brief Self Service demo video.

My UVACH HR Updates (Inside UVA Community Health, 11/17/22)

On Dec. 18, 2022 payroll activities for all of UVA Community Health will move from Meditech to Oracle. Payroll information, along with other employee data, will be housed for team members in the My UVACH HR Oracle Employee Self Service portal. In this portal, team members can also access their learning assignments, complete performance reviews, and manage their PTO. To learn more about the Employee Self Service portal, please watch this video.

On Dec. 18, we will also move our time and attendance operations from API to Kronos. This transition will introduce new timeclocks and some changes to time and attendance policies. Please stay tuned for more information from your leaders.

Oracle Learning Management System (Inside UVA Community Health, 11/17/22)

The Oracle Learning Management System (LMS) launched on Oct. 23, 2022, and will be used for new hire training through the end of the year. Existing team members who have any modules in progress or previously assigned training, please continue to use NetLearning to complete any outstanding CEU or integration training before Dec. 17.

My UVACH HR Go-Live Date Change (Memo, 10/18/22)

The UVA Health system integration continues to progress at a great pace with many developments taking place over the coming weeks. We share our appreciation to the integration teams who have been working diligently to ensure that we continue to have smooth transitions away from Novant functions to the updated UVA Health systems and processes.

As we reinforce our goal to minimize disruption and allow for a smooth transition for all team members, the Integration Leadership team has made the decision to move the Oracle Payroll and Kronos go-live date to 12/18/2022. All other go-live plans remain unchanged.

This decision was made after careful examination of the remaining tasks to be completed before the systems can go live. Moving the date provides the project team enough time to provide team members a system that can optimally support day-to-day operations.

On 12/18/2022, Oracle employee and manager self-service portals will be available to team members and the timeclocks will update to Kronos clocks. The first paycheck that will be distributed from Oracle will be 1/6/2023. Kronos Job aids can be found on the integration website at this time for your review.

Please continue all processes for your day-to-day functions as usual. The integration project team will continue to provide you with more information regarding the new My UVACH HR go-live schedule through our existing leadership meetings and system-wide communications.
